Your opportunity
As an Executive Assistant, you’ll be reporting to the Director – NAL, and will be responsible for providing high quality executive support. You will support the smooth functioning of the executives calender/s and provide assistance where required to support the overall functioning of the NAL Team. Working side by side with people who go the extra mile, you’ll also love the feeling of helping children and adults who need us.
Here’s how you’ll do it:
- – Provide accurate and timely support to the executive/s including the management of incoming telephone calls, diaries, meetings, travel bookings, expense claims and other administrative activities.
- – Assist in preparing written material for the executive/s as directed.
- – Provide support and organise events for the executive/s as required.
- – Monitor and ensure deadlines and reporting time lines are met.
- – Arrange travel and accommodation for executive/s and manage all catering arrangements for meetings, including setting up and clearing meeting room.
- – Support the regular flow of information across other EA’s within the SMT and internal and external stakeholders.
- – Comply with all Hearing Australia WHS policies and procedures. This includes passing and remaining up-to-date with all required training necessary to carry out your role.
What you’ll bring
We believe the successful candidate will show an understanding of quality, compliance and ethical requirements of working with participant data. You’ll bring:
- – 5+ years of professional administrative assistance experience in an office setting required
- – Excellent working knowledge of Microsoft Office: Word, Excel, and Outlook (including calendar management) required
- – Exceptional organizational and time-management skills required
- – Excellent interpersonal and verbal communication skills
- – Strong written communication skills required
- – Strong teamwork skills required
- – Ability to work independently with little supervision required
- – Demonstrates initiative and resourcefulness
- – Experience in a research or engineering organization preferred
